Determine the result for the customer
Employees' acquaintances, sports competitions, client events and family days require different scenarios, matchmaking requires changing partners and simple tasks, and competition requires categories, rules and accurate results
Before calculating, the customer chooses the main result and priorities: involve everyone, determine winners, create content or combine sports with communication
Collect the raw data
You need a date, a venue, duration, number of guests, sports experience, age limits and the desired level of competition, and you need to specify whether everyone should participate at the same time
The phrase "about fifty people" is not enough for the final estimate. You need to know the range and deadline for confirming the composition
Calculate the bandwidth
There are four people playing on the same court at the same time, but the number of guests can't just be divided by four: you have to take into account the training, the duration of the match, transitions, input and reserve
If the whole train doesn't fit together, they use waves, stations, extra courts, or parallel programs, and each group should have a clear route, not a free wait
Choose the format of the tournament
For beginners, short team tasks, Mexican or circular format with understandable rotation are suitable. For experienced players, you can use groups and playoffs, rankings or separate categories
The system is chosen after the time is calculated, and a complicated grid makes no sense if half of the matches have to be cancelled for the final
Assign a team of organizers
You need an event manager, a host or instructor on the courts, a registration and a person who records the results. For a large flow, one coach cannot simultaneously teach, judge, announce transitions and respond to the customer
Roles, arrival times and communication channels are all set in the script, and the customer understands who makes the weather and organizational decisions
Secure security and reserve
The coverage, free zones, people flows, water, first aid kit and waiting area are checked. For open courts, the weather solution time and transfer or alternative program options are set
The instructors are given a list of participants' limitations, and the format should not require beginners to play a quick tournament without warm-up and explanation
What to get after the event
The customer receives a confirmation of the program, the actual number of participants, the results or protocol, if necessary, materials by agreement and a brief analysis
For a repeat event, you save the loading of the courts, the delays, the feedback, and the waiting areas of the script, and the next calculation is based on this data
